Proofline Security respects your privacy and handles personal data with care. This Privacy Policy explains which personal data we collect through this website, why we process it and what rights you have.

1. Who we are

Proofline Security is responsible for the processing of personal data described in this Privacy Policy.

2. Personal data we process

We may process the following personal data:

  • your company name and job title;
  • information you include in a contact form or email;
  • technical information such as IP address, browser type, device information and server logs;
  • information relating to enquiries, proposals or client engagements.

Please do not submit passwords, credentials, source code or other sensitive technical information through the general contact form.

3. Why we process personal data

We process personal data for the following purposes:

  • to respond to questions and contact requests;
  • to discuss, prepare and perform services;
  • to prepare proposals and agreements;
  • to maintain business communications;
  • to secure and operate the website;
  • to prevent spam, fraud and misuse;
  • to comply with legal and administrative obligations.

Depending on the situation, processing is based on your request or consent, the performance or preparation of an agreement, a legal obligation or our legitimate interest in operating and protecting our business and website.

4. Contact form and email

When you contact Proofline Security, we use the information you provide to respond to your request and, where relevant, prepare or perform an engagement.

Contact enquiries that do not result in an engagement are normally retained for no longer than 6 months, unless there is a legitimate reason to retain them longer.

Information relating to clients, contracts, invoices and completed assignments may be retained for longer where this is necessary for contractual, legal, tax or professional-record purposes.

5. Website security and server logs

Our website and hosting provider may automatically record technical information, including IP addresses, request times, browser information, requested pages and security events.

This information is used to:

  • maintain the availability and security of the website;
  • investigate technical problems;
  • detect malicious activity;
  • prevent fraud, attacks and misuse.

Server and security logs are retained only for as long as reasonably necessary for these purposes, subject to the retention periods used by our hosting and security providers.

6. Cloudflare Turnstile

This website may use Cloudflare Turnstile to distinguish legitimate visitors from automated traffic and to protect forms against spam and abuse.

Turnstile may process technical signals relating to your browser, device, network connection and interaction with the website. Cloudflare states that Turnstile is intended to detect bots and protect websites and does not use the collected information for advertising retargeting.

Further information is available in Cloudflare’s own privacy documentation.

7. Cookies

This website may use technically necessary cookies or similar technologies required for security, language selection, form functionality and basic website operation.

Where analytics, marketing or other non-essential cookies are introduced, visitors will be informed and, where required, asked for consent before those technologies are activated. The Dutch Data Protection Authority notes that non-essential tracking technologies may require consent and must be explained in the website’s privacy information.

8. Service providers

We may use external suppliers to operate the website and provide our services, such as:

  • website hosting providers;
  • email and communication providers;
  • Cloudflare for website security and spam prevention;
  • form and WordPress service providers;
  • accountants, legal advisers or other professional service providers.

These parties receive personal data only where necessary to perform their services or where required by law.

Where a supplier processes personal data on our behalf, appropriate contractual and security arrangements are used.

9. Transfers outside the European Economic Area

Some service providers may process data outside the European Economic Area.

Where this occurs, we take reasonable steps to ensure that an appropriate legal transfer mechanism and safeguards are in place, such as an adequacy decision or approved contractual clauses.

10. Data retention

We do not retain personal data longer than necessary for the purpose for which it was collected.

Indicative retention periods are:

  • contact enquiries: 6 months;
  • client and project records: for the duration of the engagement and an appropriate period afterwards;
  • financial administration: for the applicable statutory retention period;
  • website and security logs: according to operational and security requirements.

Specific information may be retained longer where necessary for legal claims, contractual obligations, security investigations or compliance with the law.

11. Security

Proofline Security takes appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration, disclosure and misuse.

Access to personal data is limited to persons and suppliers who require it for their work.

No method of transmission or storage can be guaranteed to be completely secure.
